Japan Visa Application: Detailed Requirements and Guidelines
Traveler Details
Passport
Requires physical passport submission.
Passport must be valid for at least 6 months from the date of departure from Japan, with at least 2 blank pages.
Handwritten passports or passports valid for more than 10 years are not accepted.
The passport should be clean and without any damage to the data page.
Photographs
2 recent passport-sized photographs, clicked within the last 3 months.
Photograph size should be 2 inches x 2 inches, with 80% of the face visible, taken against a plain white background.
The photograph should have a matte finish.
For applicants from Kolkata jurisdiction, the photo specification is 45mm x 35mm or 2 in x 1.4 in, with a signed authorization letter for agent submission.
Travel Details
Flight Tickets
A copy of the confirmed Arrival and Departure tickets is required.
Hotel Reservation
A copy of the confirmed hotel reservation with the following details:
Hotel Address
Hotel Contact Number
Applicant’s Name
Dates of Reservation for the entire travel period in Japan.
Itinerary
A day-wise itinerary for all days of travel within Japan, detailing the planned activities or destinations.
Financial Details
Income Tax Return (ITR)
3 years of personal income tax returns of the sponsor are required.
Bank Statement
Bank statement for the last 6 months from either the applicant’s or sponsor’s bank account.
The bank statement must be stamped and signed by the bank to be considered valid.
Occupation Details
Employed
A Leave Sanction letter from the company on the company letterhead.
Any of the following documents from the company, with the company letterhead:
No Objection Certificate (NOC) or Company Appointment Letter (if the applicant has recently switched companies).
Payslips for the last 3 months.
Self-Employed
A cover letter on the business letterhead explaining the purpose of travel.
Business registration certificate, such as GST certificate, Certificate of Incorporation, Partnership Deed, or Memorandum of Association (MOA).
Valid proprietorship proof.
Company bank statement for the last 3 months.
Mandatory Details
Additional Requirements
All documents must be in English or accompanied by an official translation.
The Embassy or Consulate may request additional documents or a personal interview on a case-by-case basis.
Applications for travel within 10 days of submission will not be accepted.
Document copies should be printed on A4-size paper.
Conditional Requirements
Marriage Certificate
If the spouse’s name is not mentioned on the back of the passport, a marriage certificate is required.
Rent Agreement
Applicable if the passport was issued in a different jurisdiction than the jurisdiction of the visa application.
Kolkata: Includes West Bengal, Bihar, Jharkhand, and Odisha.
Chennai: Includes Tamil Nadu, Andhra Pradesh, Telangana, Kerala, and Pondicherry.
Bengaluru: Includes Karnataka.
Sponsor Documents
If the applicant is being sponsored by a person, the following documents are required:
A sponsorship letter stating the applicant’s details and the purpose of the trip.
Employment proof of the sponsor.
Bank statement of the sponsor.
Government-issued ID proof (Passport, Driving License, PAN Card) of the sponsor if the sponsor is from India.
If the sponsor is from Japan, provide a copy of the sponsor’s passport or driving license.
